Privacy Policy

Wedding OS provides AI-powered communication assistants for wedding vendors. Our platform helps vendors manage email enquiries, phone calls, availability checking, and appointment booking using artificial intelligence.

Wedding OS integrates with Google Calendar to provide real-time availability checking and appointment booking. When you connect your Google Calendar, we request the following permissions:

• Read your calendar (calendar.readonly) — We read your calendar events to check your availability when a potential client calls or emails. This prevents double-bookings by ensuring Emma only offers times when you are free.
• Manage your calendar events (calendar.events) — When a caller confirms a booking, we create a calendar event on your behalf so the appointment appears in your Google Calendar. If a booking is rescheduled or cancelled, we update or remove the corresponding event.

Your Google Calendar OAuth tokens are encrypted using AES-128 (Fernet) encryption before being stored in our database. We never store your Google password. Access tokens are refreshed automatically using Google's OAuth 2.0 refresh token mechanism. You can revoke access at any time.

We use your Google Calendar data exclusively to:

• Check your real-time availability during incoming phone calls and email enquiries
• Create calendar events for confirmed bookings
• Update or cancel calendar events when bookings change

We do not use your Google Calendar data for advertising, analytics, market research, or any purpose unrelated to the core booking functionality described above.

We do not sell, rent, or share your Google Calendar data with any third parties. Your calendar information is only accessed by the Wedding OS system to perform the booking functions you have authorised. No human at Wedding OS views your calendar data unless you explicitly request support assistance.

We retain your encrypted OAuth tokens for as long as your account is active and your Google Calendar is connected. When you disconnect your calendar or delete your account, we delete your stored tokens and cached calendar data within 30 days.

You can revoke Wedding OS's access to your Google Calendar at any time by:

• Disconnecting your calendar from the Wedding OS dashboard
• Visiting myaccount.google.com/permissions and removing Wedding OS

In addition to Google Calendar data, we collect:

• Your email address and business name (for account creation)
• Phone call recordings and transcripts (for service quality)
• Business information you provide in your agent configuration

We use industry-standard security measures including encrypted data storage, HTTPS for all communications, and secure cloud infrastructure on AWS. We conduct regular security reviews of our systems.
